Position Summary:
The Regional Services Assistant is an essential support role on Special Olympics Colorado’s Regional Services team—helping our department stay organized, responsive, and connected across four regions and 150+ local programs statewide. This position manages much of the department’s back-end administration, helping keep communication, systems, and day-to-day workflows organized, accurate, and on track.
Working closely with the four Regional Managers, volunteer Local Program Coordinators, and the Senior Director of Regional Services, you’ll help ensure the department operates smoothly and consistently statewide. You’ll support core administrative functions like email and phone correspondence, database management and updates, budget and expense documentation, and department reporting (including Board and grant reporting). You’ll also support coordination for department initiatives and Family Services activations that strengthen the athlete and family experience.

Reports to: Senior Director of Regional Services
Position Responsibilities:
• Local Program Accreditation & Compliance: Support the development of, and coordinate the execution of, the Local Program Accreditation process for 150+ local programs statewide; support compliance-related tracking and communications (including athlete application and Class A reminders).
• Local Program Finance & Budget Support: Manage regional local program finances, including budgeting, maintaining budget worksheets, invoicing and reimbursements, monthly account updates to Local Program Coordinators, in-kind reporting, and support for Local Program adherence to the Budget Policy.
• Registration & Athlete Placement Support: Support Regional Managers with seasonal registration processes, including athlete placement and coordination tasks that help local programs prepare for the season.
• Data, Reporting & Database Management: Maintain the Community Centered Board (CCB) and Program Approved Service Agency (PASA) outreach database; compile data and reporting for Regional Services obligations (including the Special Olympics International Census); create and maintain a Family Member Database to track family involvement.
• Family Services Activation Support: Support family hospitality efforts at competitions; schedule family pre-season and competition calls; coordinate meetings for family engagement committees.
• Experience Design & Hospitality Support: Support the development and coordination of hospitality- and experience-focused initiatives that bring joy, recognition, and meaningful connection to athletes, families, and coaches across programs and events.
• Communications & Customer Support: Manage the info@specialolympicsco.org inbox as a welcoming first point of contact and clearinghouse for initial inquiries; support department-wide email communications and help draft team/season announcements.
• Events & Regional Logistics: Support Regional Managers in planning Regional Caravan logistics (hotels, facilities, food donations, and related details) and provide logistics/on-site support for Regional Services-related competitions and events as needed.
• Funding Support & Storytelling: Work in collaboration with the Grants Manager to provide regional metrics, stories, and local program experiences needed to support grant reporting and secure new funding.

• Education and/or experience equivalent to a bachelor’s degree

• Data management/analysis background preferred
• Budgeting experience preferred
• Demonstrate strong organization and planning skills
• Understanding of CMA and PASA systems preferred
• Bilingual (Spanish) preferred
• Strong self-motivation and the ability to work independently
• Support other departments contributing to team spirit and sharing of responsibilities
• Sense of humor
• Ability to work weekends and evenings as needed
• Ability to travel independently throughout the state
• Ability to lift and carry 30 lbs
• Ability to operate a computer for extended periods

Compensation:
The Regional Services Assistant position is an hourly full-time position with a wage range of $17.88-$25.00. A bonus may be available dependent on organizational performance. Compensation will be commensurate with experience and qualifications.
