Position Summary:

The Regional Services Assistant will serve as the backbone of the Regional Services department and be a through-point between all four Regions. This position will work closely with the four Regional Manager on staff, along with local programs and volunteer Local Program Coordinators. A “local program” is a cohort of athletes, Unified partners, coaches, and family members, who’ve come together to form a unit to offer Special Olympics Colorado training, practices, and participation in competitions. Special Olympics Colorado has 150+ local programs across the state. This position will be a resource to the implementation of Regional Services strategies and initiatives, including the creation and execution of the Local Program Accreditation process.

The position will also serve as a clearinghouse for budgeting, local program compliance, data tracking and analysis, Board reporting, and grant reporting for the Regional Services department. This position will also provide essential support for planning of Family Services activations.

The Regional Service Assistant will balance a workload primarily focused on administrative responsibilities (email and phone correspondence, budget management, database management, reporting, etc.). They will work together with each of the Regional Managers in supporting regional planning, local program support, and outreach/growth efforts. This position will be based out of the Special Olympics Colorado state office is in Centennial.

Reports to: Senior Director of Regional Services 

Position Responsibilities:

Support in the development, and coordinate the execution, of the Local Program Accreditation process for all 150+ local programs throughout the state.
• Manage all regional local program finances, including budgeting, managing budget worksheets, invoicing and reimbursements, monthly account updates to Local Program Coordinators, in-kind reporting, and Local Program adherence to the Budget Policy.
• Support in the creation and maintenance of a Local Program Resource webpage and FAQ webpage.
• Support regular email alerts that overlap across all regions to coaches, athletes, and families, including athlete application and Class A reminder emails.
Manage the info@specialolympicsco.org email and serve as the clearinghouse for all initial inquiries.
• Support Regional Managers with season registration athlete placement and drafting of team and season announcement communications.
• Support Regional Managers in planning of Regional Caravan logistics, including booking hotels, securing facilities for event usage, securing food donations, etc.
• Support collection of all regional services in-kind documentation including in-kind usage by local programs
• Maintain Community Centered Board (CCB) & Program Approved Service Agency (PASA) outreach database.
• Create and maintain a Family Member Database to accurately track family involvement.
• Compile data and reporting for Regional Services obligations for the Special Olympics International Census
• Support Family Services activations including planning of family hospitality tables, scheduling and minute taking at family preseason calls, and manage terms for family input council.
• Work in collaboration with Director of Foundation Relations to provide Region metrics, stories, experiences needed to secure new funding.
• Provide logistics support at Regional Services related competitions and events as needed.

Position Requirements

Education and/or experience equivalent to a bachelor’s degree.
• Demonstrate commitment to the mission, vision, and values of Special Olympics Colorado
• Effective interpersonal skills
• Data management/analysis background preferred.
• Budgeting experience preferred.
• Demonstrate strong organization and planning skills.
• Understanding of CCB and PASA system preferred
• Bilingual (Spanish) preferred.
• Strong self-motivation and the ability to work independently.
• Support other departments contributing to team spirit and sharing of responsibilities.
• Sense of humor
• Ability to work weekends and evenings as needed.
• Ability to travel independently throughout the state.
• Ability to lift and carry 30 lbs.
• Ability to operate a computer for extended periods.

Compensation:

The Regional Services Assistant position is a hourly full-time position with a wage range of $18.82 – $24.72. A bonus may be available dependent on organizational performance. Compensation will be commensurate with experience and qualifications.
